For bike, e-bike, kayak & paddleboard hire

Book the kit. The system runs the day.

Watersports and bike rental booking software: the kit booked and paid for on your own website, collection slots and return windows you set, and the day’s hires on a phone at the shed.

Twenty boards, one beach, one phone.

A walk-up wants two kayaks at ten, a family booked four bikes for eleven, and a board is due back that has not appeared. Day hire is a diary of hours, not nights, and most equipment hire software cannot hold it.

Booked by the day

A hire booking system built on collection slots and return windows, not nights.

A hire runs from a collection slot to a return window, with no night in between, so a board can go out twice in a week and a bike can go out twice in a day where your slots allow it. Each bike or board is its own row in the calendar with its own day rate, so sizes and types are simply different rows. Nobody is asked for a licence.

  • Same-day hire: collection slots and return windows you control
  • Every bike, board and kayak as its own unit with its own price
  • Booked and paid on your own website, or at the counter for walk-ups
  • Day-based pricing; there is no hourly billing
The customer date picker: unavailable days greyed out, collection and return times chosen from slots, and the quote updating as the choices change.

Coastway Motorhomes — dates, slots and the quote. A day-hire operator’s version reads the same, with the return window on the day of collection.

The day's movements on a phone: a return due back in the morning and a collection going out after lunch, each with its handover checklist one tap away.

Coastway Motorhomes — today’s collections and returns on a phone. At a hire shed it is the morning’s list.

At the shed

Who is collecting, who is due back, who has paid.

The day view is the morning’s list: collections in order, returns as they land, and whether each hirer is paid. A handover checklist runs the same way every time: helmet fitted, brakes checked, buoyancy aid sized. A small damage deposit is held on the card and released once the kit is back and checked.

  • Movements board by day, week and month, on a phone
  • Handover checklists for every collection and return
  • Damage deposit pre-authorised, released on a clean return*
  • Condition reports with photos, for the board that comes back cracked

* Supported in full with Opayo, Booqello’s preferred merchant payment provider — see integrations.

Kit, extras and the money

Helmets, child seats and buoyancy aids, priced as you choose.

Extras are yours to define: a child seat, a trailer, a dry bag, a wetsuit in the right size. They are added at booking or at the counter and show on the day’s list so the kit is ready. Payment is by card into your own merchant account, and pay-by-link covers anything that comes up after return.

  • Extras per booking or per person, added online or at the counter
  • Card payments with 3-D Secure, Apple Pay and Google Pay*
  • Discount codes for groups, clubs and quiet weekdays
  • Gift vouchers sold and redeemed against real bookings
The extras step of a booking: add-ons priced once or per day, with the quote on the right updating as each is chosen.

Kit upkeep, money in, and what earns

Your side, their side, and everything in between.

Three screens from the same deployment: the service record for a piece of kit, the customer’s own payment page, and the report that says which kit earns its keep.

A unit's maintenance page: compliance tiles with due dates, an upload box that files a document against the unit, and a form to add a service record.

Kit kept in service. Service records per unit, and a unit blocked out while it is repaired.

The customer's own payment page: what has been paid, what is due and the deposit hold, with a button to pay.

The customer pays online. Before the day, from their phone.

Performance for the year: bookings, days out, utilisation and revenue for each bike and board.

Which kit earns, and which sits. Bookings, days out and revenue per unit.

Every screen above is from Coastway Motorhomes, one of the four deployments we keep standing. A day-hire operator’s version carries the same screens with your kit, your slots and your words.

What a bike or watersports hire business actually pays.

Bikes and watersports kit are priced the same way as every other sector: a rate per unit per month, everything included, with no setup fee and no commission. The same £29 minimum and £199 cap apply. The kit rate is not published yet, so yours is confirmed in writing before you commit.

Common questions from bike and watersports hire centres

We hire by the hour as well as by the day. Does that work?

Hire is by the day, with collection slots and return windows you set. A morning slot and an afternoon slot on the same unit are two hires; there is no hourly billing.

We have forty bikes. Do I really set up forty units?

Each bike or board is its own row in the calendar, with its own price and its own service record. The rows are set up for you before go-live, and a row is how you know which board came back cracked.

Do customers have to sign anything?

Your choice. The hire agreement can be generated per booking and e-signed in the portal before the day, or switched off. Nobody is asked for a driving licence.

What happens when the weather cancels the day?

Refund any amount against the original payment, move the booking to another day, or issue a voucher. Every change is recorded against the booking.

Is this an activity booking system too?

For kit that goes out and comes back, yes. Guided sessions and lessons with a seat count are not something Booqello takes on at the moment.

Can walk-ups be booked at the counter?

Yes. You take the booking in the same diary, take payment by card or by link, and it behaves exactly like an online booking: same confirmation, same portal, same reports.

We have bookings in another system. What is involved in moving?

Your kit, rates, rules, extras and documents are rebuilt in Booqello for you, with no setup fee. Forward bookings depend on what your current system will let you export; tell us which one you use and you will get a straight answer before you commit.
