Vehicle hire software with the checks built in.
Licence documents in, agreement e-signed, deposit held — before the keys move. Built around live hire operations.
The admin between every hire.
A licence to check before handover. A deposit to hold and then release. A van back at ten that goes out again at two, and an MOT falling in the middle of the season. This is the work the software carries.
Drivers checked in before collection day.
Drivers add their details at booking. Licence photos and proofs of address go into the hirer’s portal, are chased automatically until they arrive, and are approved or sent back with a reason. The rental agreement is generated for that hire and e-signed, and the damage deposit is pre-authorised on the card — held, not taken.
- Driver details captured at booking, documents uploaded to the portal
- Missing documents chased automatically until they are in
- Rental agreement PDFs generated per hire, e-signed in the portal
- Damage deposit pre-authorised — released automatically after return
Coastway Motorhomes — the chase email that goes out on its own while anything is still missing.
Coastway Motorhomes — the day’s movements on a phone in the yard.
Who is out, who is due back, what is missing.
Booqello’s movements board shows the day as you work it: collections in order, returns as they land, and whether each hirer is paid, documented and cleared to drive away. Turnaround buffers sit between hires, so a return and a collection are never booked back to back unless you allow it.
- Movements board by day, week and month
- Per-vehicle calendars with turnaround buffers
- Collection slots and return windows you control
- Handover checklists; condition reports with photos on Pro
MOT, service and repairs, tracked against the calendar.
Every vehicle carries its own maintenance record — MOT, tax, services and repairs, with due dates and a printable history. A vehicle can be blocked out of the calendar while the work happens, and condition is recorded with photos at handover and return, so damage is a matter of record rather than memory.
- MOT, tax and service records with due dates, per vehicle
- Vehicles blocked out of the calendar for maintenance
- Condition reports with photo evidence and damage marking on Pro
- Damage charged against the held deposit, with the evidence attached
Coastway Motorhomes — one vehicle’s compliance record, kept where the bookings are.

Common questions from vehicle-hire operators
What kinds of vehicle can it run?
Anything hired out as a self-drive vehicle by the day — vans, cars, minibuses, campervans, 4x4s. The same rental booking software runs a mixed fleet: every vehicle has its own calendar, pricing, rules and maintenance record.
We hire by the day, not the week. Does that work?
Yes. Pricing is per day, with collection slots and return windows you control, and minimum-hire rules set per vehicle. It is day-based — there is no hourly billing.
How do driver documents work?
Drivers enter their details at booking and upload licence photos and proofs of address to their portal. The system chases anything missing, and you approve or reject each document in the console. A rejection tells the hirer what was wrong and asks again.
What about damage deposits?
Pre-authorised on the hirer’s card before collection — held, not taken. After return, the hold releases automatically once your inspection window passes, or you charge against it with photo evidence from the condition report.
We have bookings in another system. What is involved in moving?
Your fleet, rates, rules, extras and documents are rebuilt in Booqello as part of setup, and covered by the setup fee. Forward bookings depend on what your current system will let you export; tell us which one you use and you will get a straight answer before you commit.
What a van fleet actually pays.
Starter takes 1% of hire revenue instead of charging per vehicle — capped at £51 a month, so it can never cost more than Growth, and it runs up to five vehicles. Above five it is £3 a vehicle a month with no percentage at all. Put your own number in.
