Direct bookings for holiday lets: what the software has to do.

Listing sites find new guests. Taking bookings yourself keeps the commission, and moves their admin onto you.

A listing site does more than show your cottage. It takes the payment, holds the damage deposit, sends the confirmations and keeps the calendar. When you take a booking directly, all of that becomes yours. Direct booking software is what takes it back off your hands.

Work out what direct bookings are worth

Take last year’s bookings from listing sites and add up the commission and any guest service fees. That figure is what direct bookings are worth to you, and it sets what the software and your website can sensibly cost. Repeat guests are usually where it starts: they already know you.

1. Payment at the moment of booking

A guest who has to wait for an invoice may book somewhere else. The software should take a deposit by card when the guest books, then collect the balance on a date you set, into your own merchant account.

2. A damage deposit you do not have to chase

A card hold before arrival, released after a clean departure, replaces refunding bank transfers by hand. Check how the system takes and releases it.

3. One calendar across every channel

If you keep listings while you build direct bookings, calendar sync blocks dates booked elsewhere. Most systems use iCal, which updates on a schedule rather than instantly; ask how often it runs.

4. Guest emails sent for you

Confirmation, balance reminders, arrival instructions and a review request should go out on their own, in your wording. These are what the listing site was doing in the background.

5. Changeovers and cleaning

Your cleaner needs to know which property turns over on which day. A changeover list built from the bookings replaces the group chat.

6. Somewhere to send repeat guests

Past guests should be able to book again on your own website, with the dates and price live. Gift vouchers and returning-guest offers give them a reason to.

What software does not do for you

Booking software takes the booking and runs the admin. It does not bring new guests on its own: that still comes from your website, search, social media and the listings you keep. Most owners keep one listing for reach and grow direct bookings alongside it.

Should I come off the listing sites completely?

Rarely at first. Listings bring guests you would not otherwise reach. Most owners keep one, and move repeat guests and their own website traffic to direct bookings.

Do I need a new website to take direct bookings?

Not usually. Booking pages and an availability calendar can embed into the site you already have.

Is direct booking software the same as a channel manager?

No. A channel manager pushes rates and availability to listing sites. Direct booking software takes bookings on your own site. Some owners use both; calendar sync alone suits most small portfolios.
